Summary and Objective

As the Administrative Assistant, you will provide general office reception and diverse administrative support to enhance organizational programs and operations. 


Reports to:                 Project Manager

Location:                    Kansas City, MO (AFA Office)

Classification:           Non-Exempt

Pay Range:                $18-22/hour

 

Essential Functions

·       Provide organizational administrative support, including but not limited to printing, correspondence, and reporting

·       Maintain team task and timeline information sources

·       Serve as office receptionist in support of office access, operations, and storage

·       Develop and maintain a working knowledge of AFA structure and programming to field phone and email requests

·       Receive, process and distribute incoming/outgoing correspondence and telephone communications for office

·       Support office mailings including the frequent addressing and routing of greeting cards, gift acknowledgement letters and occasional large mailings

·       Develop and maintain a working knowledge of AFA revenue and expense models and connection to programs supported

·       Support accounts receivable by handling checks and occasional cash according to the organization’s segregation of duties

·       Purchase and maintain general office and program supplies

·       Periodic staffing at organizational events

·       Database management and list development

·       Perform other duties as assigned and developed

·       Strong interpersonal communication skills to interact with significant parties within and outside the AFA office 

·       Ability to work with a broad demographic of ages, professions, and educational levels

 

Required Education and Experience

·       Associate’s degree required and/or training in administrative support

·       3-5 years of related office experience

·       Experience in database entry and records maintenance, ideally within a customer relations management (CRM) system

·   Extensive experience with the Microsoft Office suite

 

Desired Education and Experience

·       Bachelors degree in businness administration or similiar field/

Supervisory Responsibility

This position has no direct or indirect supervision of other staff.

Work Environment

This job operates primarily in a professional office environment.

Physical Demands

While performing the duties of this job, and subject to request for reasonable accommodations, you would be required to constantly operate a computer and other office equipment as needed (i.e. phone, copier/scanner, postage meter, etc.).  You must also be able to remain in a stationary position most of the day and to exchange information with internal and external constituents regularly.  Occasionally, you may be required to move or position equipment weighing 5-10 pounds.

Position Type/Regular Hours of Work

This is a full-time position at the organization’s primary office, and regular hours of work and days are Monday through Friday, 8:00 a.m. to 5:00 p.m.  You will be expected to work some evenings and weekends as needed.

Travel

Travel is limited and primarily local during the business day, although some out-of-area and overnight travel associated with AFA programs or required training is possible.
