As our team continues to grow, we’re looking for a detail-oriented Electronic Document File Management Associate to help us maintain organized, accessible, and secure digital documentation across all billing workflows.

Position Summary:
In this role, you'll be responsible for managing and maintaining electronic files related to billing, claims, remittances, and patient information. You’ll play a key part in ensuring that our documentation systems support compliance, efficiency, and top-tier client service.

Key Responsibilities:

  • Digitize and organize incoming documentation such as claims, EOBs, patient records, and billing correspondence
  • Maintain structured, consistent file naming and storage practices across platforms
  • Index and file documents into appropriate systems, ensuring ease of access for billing and coding teams
  • Support secure document handling and compliance with HIPAA and client-specific data policies
  • Coordinate with billing specialists, coders, and client service teams to resolve document-related issues
  • Assist in document audits and quality control processes to ensure accuracy and completeness

Requirements:

  • 1–2 years of experience in document management, medical billing, or administrative support in a healthcare setting
  • Strong understanding of HIPAA and data confidentiality standards
  • Experience with electronic document management systems (e.g., Sharepoint, Kareo, NextGen, AdvancedMD, or similar platforms)
  • High attention to detail and strong organizational skills
  • Ability to multitask and manage time efficiently in a fast-paced environment
  • Proficiency in Microsoft Office and general computer skills

Preferred Qualifications:

  • Prior experience in a medical billing or RCM (Revenue Cycle Management) company
  • Familiarity with EHR systems and claim lifecycle documentation
